Job Description

Provide overall secretarial and administrative support to the c-suite executives, tasks may include but not limited to:-
  • To act as a focus point of contact on behalf of the c-suite executives, screening phone calls/enquiries/requests etc
  • Handling incoming mail and drafting correspondence, speeches, articles, briefings and proposal on behalf of c-suite executives
  • Organize business contract, letters, correspondence, weekly reports, summarize the content, collecting information and routing its correspondence
  • Ensure the decisions and instructions by c-suite executives are properly communicated and carried out
  • Meeting and welcoming/greeting of visitors at all levels of seniority
  • Networking with other company's secretary for business meeting / visit arrangement
  • Handle full spectrum of travel managements for c-suite executives including flight arrangements, hotel accommodation, visa application and travel itineraries
  • Occasionally travel with the c-suite executives for minutes taking at meetings or to provide executive secretarial assistance during presentations
  • Maintains corporate office diaries/working calendar schedule by monitoring, including meeting scheduling and appointments planning
  • Manage the corporate office and leading a small group of direct reports towards departmental/company goal
  • High integrity handling confidential documents and maintain strict confidentiality, including data management and filing
  • Organizing and attending the weekly and monthly management meeting, including minutes taking
  • Ensuring the c-suite executives are well prepared for meetings, including producing documents, briefing papers, reports and presentations, carrying out background research and presentation findings
  • Follow up on assignment status with respective parties, e.g. Government, Investors, Customers and etc
  • Take charge of company’s function, event, key customers visit etc, which chair by the c-suite executives
  • Handle any ad hoc assignments or personal matters of the c-suite executives upon request
  • Assist in the public relation (PR) and investor relation (IR) matters of the company as needed
  • Ensuring effective records and administration
  • Contributes to team effort by accomplishing related results as needed

Job Requirement

  • Candidate must possess at least Secretarial Certificate discipline or equivalent/ Bachelor Degree’s in any field
  • At least 5 year(s) of working experience in the related field is required for this position

Cost Accountant / Cost Analyst

Job Description

  • Report to the Finance Director on all job functions related to the position
  • Planning, studying and collecting data to determine costs of business activity, such as raw material purchases, inventory and labour
  • Analysing changes in product design, raw materials, manufacturing methods to determine effects on cost
  • Interact with Planner to ensure Bills of Materials (BOM) are accurate and up to date. Update standard costs in the BOM as needed
  • Analysing actual manufacturing costs and preparing periodic reports comparing standard costs to actual production costs
  • Analyse factory overhead cost drivers and develop a methodology for allocating these costs to specific work order. Monitor actual vs absorbed factory overhead on a monthly basis and together with CFO, determine if the allocation methodology should be adjusted
  • Calculate and monitor standard costs for inventory valuation, project / work order budget and costing purposes
  • Providing management and various departments with detailed reports specifying and comparing factors affecting prices and profitability of products/projects and controlling expenditures
  • Coordinate physical inventory counts and monitor cycle count program, investigate cycle counting variances and resolve issues
  • Reconcile raw material, WIP and finished goods inventories
  • Responsible for project financial management (e.g. review project budget, project/work order cost monitoring, margin analysis etc.)
  • Lead and manage the Excess & Obsolescence (“E&O”) review process, review stock aging for determination of obsolete and/or excess inventory write off; proposes reserve adjustments or dispose of obsolete inventory as required
  • Perform month-end accounting activities such as closeout completed project/work order by ensuring all material, labour and outside service costs are recorded, reconciling inventory and related reverse balances to the general ledger, and analysing variances and cost of goods sold. Coordinate these activities with the Financial Accountant in support of timely issuance of financial statements
  • Create and distribute detailed weekly open work order reports to Planning / Production Manager which include actual and estimated costs to-date as well as projections to complete
  • Provide financial support and work closely with other functional areas of the Company:
    1. Manufacturing – works with the operation manager and production staff to identify cost savings projects, analyses and forecasts the impact on the cost structure if implemented; monitor the subsequent cost saving result.
    2. Inventory Control – investigates inventory adjustments resulting from periodic cycle counts and annual physical inventory.
    3. Purchasing – analyses purchase price variances & tracks material price trends; monitors the cost savings derived from cost down plan.
  • Budget preparation, monitoring of actual spend vs budget, spend variance analysis and commentaries; ensuring spending is kept in line with the budget
  • Providing forecasting or financial analysis to evaluate special projects, products costing; analyse capital budgeting requests, etc when necessary
  • Contribute to team effort by accomplishing related results as needed
  • Any ad hoc assignments as instructed by the Management

Job Requirement

  • Bachelor’s Degree in Finance, Accounting or related field required
  • Professional qualification such as MIA/CPA or similar will be considered a plus
  • Minimum of 4 years of cost accounting in a manufacturing environment
  • Solid understanding of cost accounting in MRP systems
  • Highly organized and detail-oriented
  • Must have a strong cost systems background and have excellent analytical skills and business acumen
  • Experience working with engineering and manufacturing personnel on development and analysis of cost standards
  • Appreciate the importance for a high level of accuracy in data produced
  • Proficient in Microsoft Excel, PowerPoint and finance software
  • Extremely strong Excel skills, especially advanced financial modelling and analytical techniques
  • Demonstrated creative and critical thinking skills
